Credit Memos can be sent into Glean the same way as an invoice (i.e. either to the inbox or manually uploaded). Once the credit memo is approved, you'd be able to click on the status dropdown and click "Apply Credit".


From there, you'd be able to select which Approved/Unpaid invoice you'd like to "pay" via the Credit memo. You'll also be able to choose if you wanted to apply the credit to the entire balance of the invoice or a customized amount.

Invoices with an applied credit will show up as Paid within Glean. You will be able to see the details about the credit that was applied by clicking the "Paid" status next to the invoice. Note: You will still be able to make a real payment for invoices with an applied credit. As such, you should always check how much credit was already applied to prevent any double/overpayment.

Credit Memos will not sync to the General Ledger until you click “Sync to the GL”. Note that this differs from Invoices as Invoices will sync to the GL on first or last approval. Credit Memos do not and must be manually synced.

When you click “Sync to the GL” Glean will push the following entries into the General Ledger

  • The Credit Memo itself including all tracking categories and balance information.

  • One Bill Payment for each Invoice credited

You should be sure to apply all of the credits you need before syncing the Credit Memo to the General Ledger. Once the Credit Memo has been synced no additional credits can be applied in Glean using that Credit Memo.
